At RaviRaman.com and Ravi Raman Enterprises, LLC (doing business as Raman Coaching) we consider the privacy of our visitors to be extremely important. This privacy policy document describes in detail the types of personal information is collected and recorded by RaviRaman.com and Ravi Raman Enterprises, LLC and how we use it.

Log files

Like many other Web sites, RaviRaman.com makes use of log files. These files merely logs visitors to the site — usually a standard procedure for hosting companies and a part of hosting services’s analytics. The information inside the log files includes internet protocol (IP) addresses, browser type, Internet Service Provider (ISP), date/time stamp, referring/exit pages, and possibly the number of clicks. This information is used to analyze trends, administer the site, track user’s movement around the site, and gather demographic information. IP addresses, and other such information are not linked to any information that is personally identifiable, except for the newsletter location described below.

Cookies and web beacons

RaviRaman.com does not set tracking cookies. Some pages embed content from third parties — YouTube videos and podcast players — and those services may set their own cookies when you view or use them. The coaching application form is handled by this site itself: your answers are stored so they cannot be lost, emailed to Ravi, and a copy is emailed to the address you give, sent through our email provider (Resend). They are used only to respond to your application and are never published or shared. The form also offers the newsletter, with the box ticked: leave it ticked and the site passes your first name, email and approximate location to the newsletter list described below, which emails you to confirm before you are added — nothing is sent to you until you do, and you can unsubscribe at any time. Comments are handled by this site itself, not a third party: leaving one asks for a name, an optional website, and the comment — no account and no password. Submissions pass through an invisible bot check (Cloudflare Turnstile), which does not use cookies to track you, and the name and website you provide are published with your comment. The comment form also has an optional email field, for one purpose: if you fill it in, the site emails you when someone replies to your comment in that thread. That address is never published, never shown to anyone, never used for the newsletter or anything else, and never leaves this site’s own database — it is held apart from the comments themselves, which is why it cannot appear in the public comment export. Every one of those emails carries a link that stops them, and your comment stays on the post if you use it. Leave the field empty and no address is stored at all. Video embeds use YouTube’s privacy-enhanced mode, which sets no cookies until you play the video.

Analytics

This site measures traffic with Cloudflare Web Analytics, Umami, and its own analytics, which runs in the same Cloudflare account as the site itself. All three are privacy-focused: none sets cookies, none follows you across other sites, and none collects information that identifies you personally. They record things like which pages were viewed, roughly where in the world visits came from, how quickly pages loaded, and how far through a post a visit read. The site’s own analytics never stores your IP address; it keeps only a one-way code made from it, which changes every day. Once that day is over the code cannot be traced back to you, except from the database’s own 30-day backups, which only Raman Coaching can open.

The site’s own analytics also records which links and buttons are clicked (in the comments, only that a click happened, not what was clicked) and how many of a post’s sections came on screen. When you subscribe to the newsletter or apply for coaching, it gives that signup or application a random reference number. The newsletter list or the application record keeps the same number, so we can see which pages and sources lead to confirmed subscribers and to coaching clients. That links the visit you subscribed or applied in to your subscription or application, inside Raman Coaching’s own systems only: the number is never sent to Umami or Cloudflare Web Analytics, or anywhere else.

Who is responsible for your data

What we collect when you subscribe: your email address, your first name if you give it, the form and page you signed up from, and when you confirmed. From your internet address we work out your approximate location (country, region and city) when you sign up, confirm or click a link in an email. The internet address itself isn’t stored. The signup box uses the same invisible bot check as the comments (Cloudflare Turnstile).

What we record about the emails you get: whether an email was delivered, whether you opened it (worked out from a small image in the email, so it’s only an estimate), which links you clicked, and the choices you make on your email settings page (which emails you get, a pause, or unsubscribing).

Why: to send you the emails you asked for, to understand which emails are useful, to send fewer emails to people who no longer read them, and to make sure we never email you again once you leave.

Legal basis: your consent, which you give when you sign up and confirm from your own inbox. You can withdraw it at any time with the unsubscribe link in every email. Keeping a record of people who unsubscribed, so we don’t email them again, is in our legitimate interest and yours. If you’d rather your opens weren’t recorded, you can set your email app not to load images.

If you subscribed before 15 October 2026: the newsletter was sent through Kit (ConvertKit). When we moved to our own system, we brought over your subscription, your tags, your approximate location, the form you signed up from, and Kit’s record of the emails you received, opened and clicked.

Who processes it for us

Amazon Web Services (Amazon SES) sends the emails.
Cloudflare runs the list and stores its data.
Kit sent the newsletter until 15 October 2026, and handled the signup forms on this site and the welcome emails until later that month.

These companies process the data only on our instructions, under their data processing terms.

Where it is processed

Our providers may process your data in the United States and other countries. Transfers out of the EU, UK and Switzerland are covered by the EU Standard Contractual Clauses (and the UK and Swiss equivalents) and, where a provider is certified, the EU-U.S. Data Privacy Framework.

How long we keep it

While you’re subscribed, we keep your subscription details.
A comment reply address is kept for 6 months and then deleted, whether or not the thread is still going. It is also deleted straight away if the comment it belongs to is removed.
Records of opens and clicks are deleted after 3 years.
If you unsubscribe, we keep your record marked as unsubscribed, so we never email you again. You can ask us to erase it instead (see below).
Backups are kept for 6 months, so anything erased is gone from every backup within 6 months.
Visit statistics from the site’s own analytics (pages viewed, rough location, device and browser) are kept indefinitely. They don’t identify you. The only link to a person is the reference number on a newsletter signup or a coaching application, and that link goes when the subscription or application record is erased.

Your rights

You can ask us for a copy of your data, to correct it, to erase it, to restrict or object to how we use it, or to receive it in a portable format. To use any of these, write to ravi+newsletter[at]ramancoaching[dot]com. We’ll reply within one month.

If we erase your data, we keep only a one-way scrambled form of your email address (it can’t be turned back into the address). It lets us recognise the address so we never email it again, unless you sign up again yourself.

If you’re in the EU, UK or Switzerland, you can also complain to your data protection authority (in the UK, the Information Commissioner’s Office).

Children’s information

We believe it is important to provide added protection for children online. We encourage parents and guardians to spend time online with their children to observe, participate in and/or monitor and guide their online activity. RaviRaman.com does not knowingly collect any personally identifiable information from children under the age of 13. If a parent or guardian believes that RaviRaman.com has in its database the personally-identifiable information of a child under the age of 13, please contact us immediately (using the contact in the first paragraph) and we will use our best efforts to promptly remove such information from our records.

Online privacy policy only

This privacy policy applies only to our online activities and is valid for visitors to our website and regarding information shared and/or collected there. This policy does not apply to any information collected offline or via channels other than this website and its newsletter.
